Booking Terms & Conditions

 

References in these terms and conditions to ‘we’, ‘us’ or ‘our’ means Green Escape Ltd trading as The Laurels Oxford and references to ‘you’ or ‘your’ means the client identified on the booking form.

 

Who we are

We are Green Escape Ltd trading as The Laurels Oxford. Green Escape Ltd is a company registered in England and Wales with company registration number 06444865 whose registered office address is at 9 Worton Park, Cassington, Witney, Oxfordshire OX29 4SX.

 

Your contract with us

These terms and conditions apply to all bookings to the exclusion of any other terms. Acceptance of all bookings are at our sole discretion. Your booking shall only be deemed to be accepted when we confirm acceptance of it and have received your deposit, at which point the contract between you and us comes into existence.

We do not accept bookings from any person aged under 25.

Our accommodation is not suitable for children under the age of 16.

Our accommodation is provided to you for personal use only. You must not use it for commercial or business purposes.

In the event that you breach any of the booking terms and conditions, we reserve the right to:

  • cancel your booking;

  • ask you and your party to vacate your accommodation immediately without any refund;

  • levy additional charges; or

  • retain all or part of the damage deposit.

 

How we may use your personal information

We will only use your personal information as set out in our Privacy Policy.

Rental charges and other payments

The rental charges applicable to your booking are as set out in your booking form.

A non-refundable deposit of 25% of the rental amount is to be paid at the time of booking.

The balance of the rental amount is due 6 weeks before the rental start date. Failure to pay the balance on or before the due date for payment shall be construed as a cancellation on your part and any deposit paid will be forfeited.

If the rental start date is less than 6 weeks before you make your booking, full payment (including the damage deposit) is required at the time of booking.

Payment is accepted by BACS.

A damage deposit is payable for all 3 barns and will be due and payable at the same time as the balance of the rental amount. The damage deposits are:

  • Moonlight Barn:  £1,000

  • Orchard Barn:     £1,000

  • Owl Barn:             £2,000

A cleaning fee is payable for all three barns at the time of booking. The cleaning fees are:

  • Moonlight Barn:  £350

  • Orchard Barn:     £350

  • Owl Barn:             £450

 

Cancellations

 

If you wish to cancel your booking you must tell us in writing.

If you cancel your booking more than 6 weeks before the rental start date then you will forfeit your deposit. If you cancel your booking less than 6 weeks before the rental start date then you will forfeit 50% of the total cost of your booking.

We will not cancel your booking unless there are exceptional circumstances and in this situation we will, (a) give you as much notice as possible; and (b) promptly refund all payments we have received from you in relation to your stay, and thereafter we shall have no further liability to you.

 

Damage deposit

 

Please treat the accommodation and other facilities provided with due care and leave them in exactly the same condition they are in when you arrive.

If you notice that anything is missing or damaged upon your arrival please let us know immediately so we can take the appropriate action.

We will levy additional cleaning charges which will be deducted from your damage deposit if you leave the accommodation or facilities or furnishings in an unacceptable condition.

You agree to accept responsibility for any damage or breakages or missing property items caused by you or any other member of your party. We would ask that you notify us of any damage or breakages during your stay prior to the end of your rental period.

The cost of any damage or breakages or missing property items or additional cleaning will be deducted from your damage deposit. If the cost of the damage and/or breakages and/or missing property items and/or additional cleaning exceeds your damage deposit, we will invoice you for the balance of the reasonable costs incurred in rectifying the damage, breakages, missing property items and additional cleaning. Any such invoice will be payable within 14 days of the date of the invoice.

We will return your damage deposit less any deductions within 14 days of the end of your rental period.

 

Your use of the accommodation

 

General

You agree to take full responsibility for all guests within your party. The maximum number of people using the accommodation must not exceed the number specified. The people occupying the accommodation must not be different from those identified on your booking form. The accommodation must in no circumstances be re-let or sub-let by you.

No unauthorised guests are allowed in or on the property. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

We aim to be an eco-friendly site so please ensure you switch off lights and electrical appliances when you are not using your accommodation.

You must not move any items of furniture or other inventory items between rooms or other accommodation.

 

Arrival and departure

Unless otherwise agreed, all rental periods commence at 3.00pm on the rental start date and you must vacate your accommodation by no later than 11.00am on the rental end date. If you do not vacate the accommodation by the time required further charges will become payable.

Prior to your departure on the rental end date, all internal bins must be emptied and waste placed in the designated bins outside the accommodation. Beds must be stripped of the linen and placed on the beds for removal by our cleaners. Towels and bathmats should be left in the shower trays for removal by our cleaners. All dirty crockery, cutlery, pans and cooking utensils must be put into the dishwasher and the dishwasher turned on. The oven must be left in a clean condition and there must be no trace of burnt food. Additional charges will become payable if we find that either some or all of the above have not been done.

 

Keys

Prior to your arrival you will be given details of how to collect the keys to your accommodation and how to return them at the end of your stay. If you lose the keys to your accommodation you will be charged for the replacement cost which we will deduct from the damage deposit. You will be given the access code to the gate and this is for your use only.

 

Security

During your stay, you are responsible for ensuring that the doors and windows to your accommodation are secured when you leave the accommodation unoccupied. At the end of the rental period you must ensure that all doors and windows are locked. Failure to secure the property during and after your stay may result in the loss of your damage deposit.

 

Parking

Vehicles must be parked in the spaces designated for your accommodation. Each barn is allocated a specific number of parking spaces. Please do not drive or park on the grass.

 

Pets

 

2 well-behaved dogs are welcome in each property at an additional charge of £30 per dog which is payable when the final balance is due. Dogs are not to be left alone in the property. Dogs are not allowed on the furniture nor are they allowed upstairs. There are stair gates at the bottom of the stairs to prevent this. If we find that dogs have been allowed upstairs, on furniture or near curtains, an additional cleaning fee will be charged and deducted from the damage deposit. Please clear up after your dog/s when he/she has been in the garden and place the poop bags in the designated black circular bin outside the property. There are spare poop bags in each utility room.

Smoking

Smoking and vaping is prohibited anywhere on the site. A minimum fee of £200 will be deducted from the security deposit if we find there has been smoking inside or outside the property to cover additional cleaning costs.

 

Health and safety

 

Our accommodation is fitted with fire alarms, fire extinguishers and a fire blanket in each kitchen.

Candles must not be used inside or outside the accommodation.

Only use the designated barbecue utensils and clean them thoroughly after use.

You must follow all advice and directions contained in the accommodation manuals and on any fire safety equipment.

 

Noise

Please respect guests at our other accommodation and our neighbours by keeping noise levels to an acceptable minimum, in particular between 11.00pm and 8.00am. 

Electric Vehicles

Charging of electric vehicles is strictly forbidden on site by ourselves and by our insurer. The nearest EV charging point is in Chalgrove's High Street

 

Weddings

The barns are not suitable for weddings nor groups of guests attending weddings. 

Rights of entry

We reserve the right to access all accommodation to ensure the booking terms and conditions are being complied with or to enforce them. We reserve the right to access, or to grant our authorised representatives access to, all accommodation to undertake essential maintenance work or for inspection purposes.

 

Liability and insurance

We accept no liability for inaccuracies in the information you provide when making your booking. Although we make every effort to ensure the details and images on our website are accurate at the time of your booking, we cannot accept liability for discrepancies.

You are advised to ensure that your own insurance covers cancellations and any loss or damage to personal property during your stay. It is your responsibility to take out adequate personal and travel insurance.

We do not accept responsibility for the loss or theft of your valuables or other personal belongings.

Use or consumption of any complimentary items provided in our accommodation is at your own risk and we do not accept liability for any losses incurred as a result of such use or consumption.

We shall not be liable for circumstances beyond our control including but not limited to outages of electricity, water, internet connection or television signals.

In any event, our liability to you under the contract shall not exceed the total amount of the booking cost received from you.

 

Other important terms

You need our consent to transfer your rights to someone else. You may only transfer your rights or your obligations under these terms to another person if we agree to this in writing.

Nobody else has any rights under this contract. This contract is between you and us. No other person shall have any rights to enforce any of its terms.

We can make changes to the contract. We reserve the right to make changes to our terms that are reasonably necessary. We will try and give you as much notice as possible of any changes which may affect your booking.

Even if we delay in enforcing this contract, we can still enforce it later. If we do not insist immediately that you do anything you are required to do under these terms, or if we delay in taking steps against you in respect of your breaking this contract, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date. For example, if you miss a payment and we do not chase you but we continue to provide the services, we can still require you to make the payment at a later date.

The laws which apply to this contract and where you may bring legal proceedings. These terms are governed by English law and you can bring legal proceedings in respect of the products in the English courts.

How to tell us about problems. If you have any questions or complaints about your stay, please contact us using the details provided. We take all expressions of dissatisfaction seriously and complaints are best notified to us immediately and during your stay so that we can try and resolve any issues as quickly as possible.
